Our friendly Governance and Legal team are seeking an Executive Support. This is a pivotal position that requires someone who is well organised, detail-focused and a quick learner as you will be supporting a Group Manager and their wider management team to deliver for our City. You will also need excellent Minute taking skills to assist in the taking of Minutes of Council meetings and other meetings as required. Above all, you will be resilient, a problem solver, politically astute and have a positive outlook.
You will be a central point of contact for a team, dealing appropriately with matters of a highly confidential and sensitive nature.
The hours of work for this position are 8:00am - 5:00pm, Monday - Friday.
Key responsibilities for this role include:
- Providing high quality, timely, executive and administrative support to the assigned Group Manager and their direct reports
- Attending Council, Committee and/or other entity meetings to capture accurate Minutes of those meetings as well as, preparing, producing and distributing agendas.
- Scheduling meetings for the Group Manager and attend meetings where required
- Assisting with the collation and release of information for requests under the Local Government Official Information and Meetings Act
- Contributing to or undertaking projects and/or other initiatives that may be assigned by the Team Leader - Governance and Executive Support or assigned Group Manager
What you will bring:
- NCEA Level 3 with competencies in English, Maths, Office Systems and Computer Skills; and/or equivalent level of knowledge
- At least three years of practical applied experience demonstrating support to a senior management level
- Practical experience of minute taking
- Strong interpersonal skills with the ability to communicate effectively and confidently with a wide range of customers; ratepayers; residents; politicians and Council's stakeholders
- Outstanding attention to detail
