Mō Tēnei Tūranga | About the Role:

This role supports the Chief Executive, Group Manager (Community Development) and the Executive Leadership Team.

As an Executive Assistant you will play a pivotal role in supporting senior leadership with administrative tasks, meeting coordination, and high-level operational duties. Your ability to think ahead, provide solutions, and ensure the CE and GM Community Development mahi runs smoothly.

Ngā Kawenga Matua | Key Responsibilities:

  • Provide proactive administrative support to the CE and Group Manager Community Development including diary management, travel arrangements, and preparation of documents.
  • Organise and manage formal meetings, including scheduling, agenda preparation, and distribution of materials.
  • Record and produce accurate formal meeting minutes, ensuring compliance with all statutory and organisational requirements.
  • Act as a key point of contact, responding to inquiries and addressing issues with a solutions-focused approach
  • Assist in the coordination of projects and special initiatives as needed.
  • Maintain a high level of confidentiality and professionalism in all interactions.
  • To be Personal Assistant (PA) to the Controller for Emergency events.

Ngā Pūkenga me ngā Wheako | Key Skills and Qualifications:

  • Proven experience in a similar Executive Assistant or senior administrative role, preferably within government or a public sector environment.
  • Executive Assistant or related qualifications to NZQA Level 5 (desirable)
  • Demonstrated experience in preparing formal meeting minutes with a high degree of accuracy.
  • Strong organisational and time management skills, with the ability to prioritise and manage multiple tasks effectively.
  • Solutions-focused with a proactive approach to problem-solving.
  • Excellent communication and interpersonal skills, with the ability to build strong working relationships.
  • Proficient in Microsoft Office Suite and other relevant software.
