Mō tēnei tūranga mahi | About the role
This is not your typical Executive Assistant role.
As Executive Assistant to the Director - Community Delivery, you will be a trusted partner supporting one of Council's largest and most diverse groups. Community Delivery is responsible for a broad range of services that have a direct impact on our communities, including libraries, museums and heritage, parks and reserves, community facilities, compliance and regulatory services, transportation, project delivery and service performance.
Working closely with the Director, you will manage workflow, priorities, governance processes and information flow, ensuring they are well prepared, well informed and able to focus on strategic leadership and community outcomes.
You will be someone who enjoys working proactively, anticipating needs, solving problems, and bringing structure to a fast-paced and complex environment. This role also provides leadership to two administrative professionals and contributes to the wider Executive Assistant network across Council.
Key responsibilities
- Partner with the Director to manage priorities, workflow and key business activities
- Coordinate governance and reporting processes, including leadership, Council and Committee documentation
- Manage communications, correspondence and information flow on behalf of the Director
- Anticipate issues, identify risks and help ensure the Director is prepared for key decisions and stakeholder engagements
- Build strong working relationships across the organisation and with external stakeholders
- Lead, coach and support administrative team members
- Identify opportunities to improve processes, systems and ways of working
- Contribute to the Executive Assistant rōpu and support collaboration and continuous improvement across the EA function

You are an experienced Executive Assistant who thrives in a dynamic environment and enjoys being at the centre of coordination, communication and delivery.
You bring sound judgement, initiative and the confidence to manage competing priorities while building trusted relationships across all levels of an organisation.
You'll also bring:
- Significant experience supporting a senior leader, executive or director-level role
- Strong organisational, communication and stakeholder management skills
- Experience coordinating governance, reporting and meeting processes
- The ability to work independently and exercise discretion when handling sensitive information
- Experience leading, coaching or mentoring others
- A continuous improvement mindset and a proactive approach to problem-solving
Local government experience is advantageous but not essential.
